Request Workflow

How a request moves

Every request follows the same five steps, handed back and forth between the floor and the buying team.

1

New request Staff

A customer asks for something. The staff member finds the product and sends the question to the buying team.

2

My requests Staff

The request shows as New in the staff member's list while the buying team looks into it.

3

Answering Buyer

A buyer answers — coming back, back ordered, or no longer carried — and can assign follow-up tasks.

4

Receiving the answer Staff

The staff member reads the answer, informs the customer, and marks it as received.

5

Completing Buyer

Once the answer is received and every task is done, the buyer completes the request.

Statuses

The status tells you whose turn it is. A manager can rename these labels in Settings; the colours stay the same.

StatusMeaning
DraftSaved but not sent. Only its author can see it.
NewSent to the buying team, waiting for an answer.
AnsweredA buyer has answered. Waiting for the staff member to read it.
ReceivedThe staff member has read the answer and informed the customer.
CompletedClosed. Nothing more to do.
Note
Every request has a number — REQ-1042, for example — shown everywhere it appears, in notifications and in emails. Use it when you talk about a request with a colleague.
